For me, you can’t have a great event unless you have great communication. For every live-streamed event I do, the technology is only as good as the communication behind it. No matter how advanced your cameras, streaming encoders, or production setup may be, a lack of clear communication between teams means this will all be for nothing.

From the initial briefing to the lead up to the event day, effective communication is critical at every stage to ensure a seamless, high-quality event. The key aspects for me to produce a successful live stream are:

1. Pre-Event Briefing and Setting the Foundation

Every successfully live-streamed event starts with a detailed conversation with the client. This is where I gather the details to get an idea of what I need to do, such as:

✅ Which Streaming platform to use?

✅ Resolution and bandwidth requirements

✅ Backup plans

✅ Client, Speaker and presentation needs - logos and branding etc.

✅ Cameras, software/hardware and live switching requirements

The briefing sets expectations and allows me to plan workflows accordingly. Miscommunication at this stage can lead to last-minute changes that can disrupt the entire production.

2. Communication Leading Up to Event Day

With the plan in place, regular communication is still needed between the teams in the days/weeks leading up to the event..

Consistent communication is the key to a smooth and successful live stream. Regular client check-ins help align expectations, provide updates on agendas or production changes, and offer previews of how the platform or video player will appear to end users. It also reduces the risk of errors, ensuring everyone stays informed and prepared. Proactive planning also helps manage last-minute adjustments, such as remote speaker additions or production tweaks, while setting a clear cut-off time for changes prevents last-minute disruptions.

Equally important is communication with the crew—keeping camera operators, sound engineers, and streaming techs in the loop ensures flawless execution on the day.

3. Onsite Communication: The Backbone of Every Live Event

On show day, real-time communication among the crew is essential. This is where professional wired, wireless or digital comms apps come into play, ensuring seamless coordination. These tools allow for instant communication, keeping transitions smooth, cues on point, and enabling quick troubleshooting when needed. With the right comms setup, the entire production team stays in sync.
