Coronavirus? ACC's advice to avoid cancellation fees

Here and there we see events being canceled in neighboring countries and some concerns are also beginning to arise among clients in Belgium. Bert Knuts (Chairman of the ACC Expert Center Event Management) investigated how best to deal with this if the customer inquires about options for postponing or canceling events: "At the moment there is no increased alarm phase in our country and the government has therefore not yet events prohibited. This means that cases of force majeure cannot be invoked at this time in the event of a cancellation. At that time it is the choice of the client / organizer and he must pay for the (cancellation) costs. to look for a solution together with clients in a healthy way, and to consult with suppliers. Postponement of an event is always easier to arrange than cancellation. An extra cancellation insurance can be taken out for events - this can be done at Verzekeringskantoor Verheyen that has been offering this for several years, however, there are a few important conditions that must be observed: Om bero To be able to do this on the insurance, there must be a written prohibition from an official government body that the event may not take place due to the Corona virus. This insurance can only be taken out within the month of the event. De spreiding en vooral angst rond het Corona-virus is wellicht niemand ontgaan. Her en der zien we in buurlanden events geannuleerd worden en ook in België begint er enige ongerustheid bij opdrachtgevers te komen.
Bert Knuts (Voorzitter ACC Expert Center Event Management) onderzocht hoe u best hiermee kan omgaan indien de klant informeert achter mogelijkheden tot uitstel of afstel van events:
"Op dit moment is er nog geen verhoogde alarmfase in ons land en heeft de overheid bijgevolg nog geen events verboden. Dit wil dus zeggen dat gevallen van overmacht op dit moment niet kunnen ingeroepen worden bij een eventuele annulatie. Op dat moment is het de keuze van de opdrachtgever/organisator en moet die zelf opdraaien voor de (annulatie)kosten.
We raden aan om op een gezonde manier samen naar een oplossing te zoeken met opdrachtgevers, en in overleg te gaan met leveranciers. Uitstel van een event is altijd gemakkelijker om te regelen, dan afstel.
Er kan een extra annulatieverzekering afgesloten worden voor events - dit kan bvb bij Verzekeringskantoor Verheyen die dit al enkele jaren aanbiedt. Echter zijn er in dit geval wel een paar belangrijke voorwaarden die in acht moeten genomen worden:
Om beroep te kunnen doen op de verzekering, moet er een schriftelijk verbod zijn van een officiële overheidsinstantie dat het event niet mag plaatsvinden owv het Corona-virus.
Deze verzekering kan enkel afgesloten worden binnen de maand van het event. Gezien de situatie quasi dagelijks verandert, nemen de verzekeringsmaatschappijen zelf geen te grote risico's en kan hun standpunt ook snel terug veranderen.
We bevinden ons momenteel in de vervelende situatie waar ongerustheid de bovenhand heeft, maar helaas op dit moment nog geen concrete (overheids)oplossingen voor zijn. Zoals iedereen volgen we de situatie mee op de voet en informeren we verder als er meer nieuws is."
Ondertussen communiceerde Visit Brussels wel al via hun website (https://visit.brussels/nl/article/coronavirus). Er wordt aangeraden om deze regelmatig te checken voor nieuwe updates.
